The same kind of review can be removed from one platform and stay up on another. A complaint that breaches Google's policies might fall outside Trustpilot's guidelines. A review that Trustpilot removes within a week might sit on TripAdvisor for months. Understanding why is the difference between knowing where to spend your effort and burning hours on challenges that were never going to succeed.
Platforms do not make these decisions arbitrarily. Each one is following a documented policy framework, weighted by signals it can verify, applied by a mix of automated systems and human reviewers. This article walks through what those signals actually are, why two platforms can reach opposite conclusions about the same review, and how to read a platform's behaviour so you can predict the outcome before you file a single challenge.
What a "violation" actually means
Every review platform publishes content guidelines. The guidelines list the categories of review that are not allowed - fake reviews, reviews containing personal information, off-topic content, conflicts of interest, hate speech, and so on. A review can only be removed if it fits one of those categories. "Unfair" is not a category. "Wrong" is not a category. "Damaging" is not a category.
This is the part business owners find hardest to accept. A review can be both untrue and unfair and still violate no guideline at all. The platform is not adjudicating the truth of the customer's experience; it is checking the review against a policy framework. If the review contains opinions the customer is entitled to hold, the framework gives the platform no basis for removal - regardless of how distorted those opinions are.
The reality
Platforms enforce policies, not justice. When you file a challenge, the question being answered is not "is this review fair?" but "does this review match a removable category as defined by the policy?" Framing your challenge around fairness almost guarantees rejection. Framing it around the specific guideline that is being broken, in the platform's own language, is what produces removals.
The signals platforms actually use
Platforms cannot verify what happened between a business and a customer. They were not there. The reviewer's account is one version of the story; the business's response is another. To make a decision, the platform falls back on signals it can verify - patterns in the data, behaviour of the account, technical evidence, and policy fit.
What platforms actually look at
- Account historyHow long the reviewer's account has existed, how many reviews they have left, how varied those reviews are. New accounts with one review carry less weight than long histories with diverse activity.
- Posting patternsMultiple reviews from the same IP address, reviews posted in clusters, reviews timed to coincide with public events involving the business - these are detectable and trigger automated review.
- Content signalsMentions of competitors, links to external sites, language that matches templates from review-fraud services, references to information the reviewer should not have access to.
- Policy fitWhether the review's content matches a defined violation category. The closer the language of the challenge to the language of the guideline, the easier the assessment.
- Business response historyBusinesses that regularly file frivolous challenges lose credibility. Businesses that only file well-supported challenges build trust with the platform's review team.
Why outcomes vary across platforms
Each platform weights these signals differently because each platform has a different audience and a different commercial model. Google indexes the entire web and has more data than any other platform; its decisions tend to lean on automated signals and pattern detection. Trustpilot is consumer-facing and tilts toward giving reviewers the benefit of the doubt, but it also offers a formal challenge process with human reviewers. TripAdvisor sits closer to the travel industry and gives more weight to verified bookings.
The result is that the same review can produce different outcomes depending on which platform it appears on. A review from an account with no booking history might be removed by TripAdvisor and ignored by Google. A review containing a competitor's name might be removed by Trustpilot and left up by Google. None of this is inconsistency - it is each platform applying its own framework correctly.

Reading the platform before you file
Before you file a challenge, the question to answer is: which signals does this platform care about, and which of those signals favour my case? If the answer is none of them, the challenge is going to fail and the time is better spent on a public response.
The clearest indicator is whether you can point to a specific guideline by name and quote a sentence from the review that breaks it. If you cannot, you are arguing about fairness, not policy, and the platform has no framework for removing the review. The other clear indicator is whether the reviewer's account has signals the platform finds suspicious - new account, single review, language matching known templates. Those are the cases that produce wins.
When the policy framework is the wrong battle
Sometimes the right answer is to stop trying to remove the review and start managing its impact. A single negative review on a profile with three hundred others has limited reach. A response that is calm, brief, and factual is read by every potential customer who sees the review and changes the impression more than the review itself does.
The defensive ceiling of any platform is lower than the offensive ceiling. You can usually grow your way out of a review problem faster than you can challenge your way out. Sound familiar?
A small Wellington bookshop received a one-star review on Google from a customer claiming the staff had been rude. The same customer left a similar review on Facebook the following day, then a third on a tourism review site a week later. The owner was certain none of the reviews described an interaction that had happened in the shop.
The Google review described details the customer would not have known unless they had visited - the layout of the shelves, the name of the cafe next door. The Facebook review was almost identical in wording. The third review on the tourism site mentioned the bookshop only in passing, in a longer review of the surrounding area.
The owner challenged the Google review and lost - the content signals were too thin and the account had a real history. She challenged the Facebook review under the duplicate-content guideline and won. The tourism site removed the third review immediately when she pointed out it was about an area, not a business interaction. Same situation, three different outcomes, three different frameworks.
When to get specialist help
